Responsibility
An accountable, reachable person.
Sentinelle Gestion Parasitaire Inc. is responsible for the personal information it holds. The title of the person responsible is Person in Charge of the Protection of Personal Information. To ask a question, exercise a right or make a complaint, write to info@sentinellegp.ca with “Privacy” in the subject line.
Collection
Information useful to your request.
When you complete the form or write to SGP, the company may collect your name, email address, telephone number, postal code, context and property type, the problem or service sought, signs and areas observed, duration, perceived priority and details you choose to provide. Fields identified as optional may be left blank. The form does not allow you to upload photographs, make a payment, directly book an appointment or create an account.
If SGP later asks you to send useful photographs by email, SGP may collect the image files, their visible content and metadata attached to those files, such as the date, device information or location data when recorded by your device.
The hosting provider may also record technical data needed for operation and security, such as an IP address, date, time, device type and requested pages. The form is intended for people aged 14 or over; otherwise, a parent or guardian must submit the request.
Purposes
Why the information is used.
SGP uses the information to review the situation, respond to the request, communicate with you, determine whether an inspection or clarification is needed, prepare a service proposal and, when applicable, follow up on the mandate. It may also be used to protect the form from abusive submissions and comply with the company’s legal obligations.
SGP does not use information from the form for a newsletter, behavioural advertising or a decision based exclusively on automated processing.
Service providers
Technical services limited to their roles.
Netlify hosts the website and processes requests sent through the form. Microsoft 365 processes professional email and notifications received by SGP. WHC provides domain-name and technical configuration services. These providers may process or store certain information outside Québec, where privacy rules may differ.
Access to requests is limited to authorized SGP executives and providers that must process the information to provide their services.
Retention
Keep information only as long as necessary.
A request that does not lead to a client relationship is retained for no more than 24 months after the last communication, unless a longer period is necessary to comply with a legal obligation or establish, exercise or defend a right. When a request leads to a mandate, the information becomes part of the client file and is retained for the period needed for the service and applicable obligations. Tax and accounting records are generally retained for six years, subject to any different requirement.
At the end of the applicable period, information is securely destroyed or anonymized when permitted by law.
Governance and security
Measures proportionate to the information.
SGP uses internal governance measures to assign responsibility for personal information, limit its use to stated purposes, manage retention and address privacy incidents. Access is limited according to duties and to authorized officers and providers who need the information for their role.
SGP also uses appropriate administrative and technical measures, including access controls and account protection. No method of transmission or storage, however, provides absolute security.
Your rights
Access, correction and withdrawal.
You may request access to personal information SGP holds about you, its correction or withdrawal of your consent, subject to limits provided by law. Withdrawal may prevent SGP from continuing to review a request or provide certain services.
Send a written request to the Person in Charge of the Protection of Personal Information at info@sentinellegp.ca. Include your name, contact information, the nature of the request and enough detail to identify the relevant information. SGP may verify your identity before disclosing or correcting information and will request only the information reasonably needed for that verification.
An access or correction request is generally answered within 30 days after it is received, subject to applicable law. If a request is refused in whole or in part, the response will state the reasons and the recourse available where required.
Complaints
A documented point of contact.
To make a privacy complaint, write to info@sentinellegp.ca with your contact information, a description of the concern, relevant dates or communications and the outcome you are seeking. The Person in Charge of the Protection of Personal Information will review the complaint and provide a reasoned response, including any corrective measure considered appropriate.
